Board of Trustees Meeting Minutes

May 13, 2024 Ellicottville Town Center

Members Attending: Sue Blesy, Mike Braun, Ed Chapman, Laurie Berrera , Gretchen Plough, Blair Hamilton, Steve Ward and Diane Smith.

MJ Brown has resigned as our 9th trustee effective immediately and we will address electing a replacement at a later date.

  • Approved agenda
  • Call to order and welcome.
  • Guest Speakers:
    • Jake Kelley spoke about our pond. We discussed having the pond tested for nutrients. He will get back to us with a proposal.
    • Kelly McDonald reported that the master gardener class will be graduating in late June. They will be dedicating the new demonstration gardens. They will be holding a tick education class the end of June.
  • Minutes: The trustees considered the minutes of the April 8, 2024 meeting. Gretchen moved and Sue seconded the motion to accept the minutes. The motion was approved and carried by a unanimous vote.
  • Treasury Report: Laurie reported income of $ 1533.10 for the 1/1/24 -5/11/24 quarter. Expenses totaled $ 2536.11. Gretchen moved and Sue seconded to accept the report. The motion was approved and carried unanimously. Ed made a motion to move $22,000 from our checking account into a CD at Five Stat Bank. Blair seconded the motion.
  • Committee and Project Reports:
    • Technology- Mike is looking into purchasing a computer for out Arboretum business.
    • Tree mapping, inventory, and signage-
    • Tree maintenance and Pruning Plan-
    • Ground and infrastructure Maintenance- Charlie’s bench has been picked up and is ready to be placed on the grounds.
    • Communication- Contacting Jeremy Knab from Southern Tier IT about our facebook page and web site development maintaining and updating.
    • Volunteers- Blair volunteered his wife to provide treats for our coffee break until Sue returns.
    • Education Programs/ Speakers- Tick Awareness program June 19th at 7:00. Speaker will be Michael Riley DVM of Springville Animal Hospital.
    • Community Relationships/ Outreach-May 30th ECS 3rd graders will visit Arboretum. Volunteers are needed to assist with them.
    • Memorial Programs- Need to address memorial benches that are broken. Laurie will handle any new bench orders.
    • Town of Ellicottville- We are looking for some space to maybe have a small office in the building.
    • Field Trips- We are planning a trip to Draves Arboretum in Darien ,N Y – Friday June21st at 11:00. We will meet at Town Center at 9:30.
    • Wish List-
  • Unfinished business: Paul Timkey has been fixing up the Northrup Stage area, replacing steps and railings. He will also power wash the stage and benches.
  • We received another load of mulch.
  • New Business:
    • Policy and By-Laws
  • Adjournment-Gretchen made a motion to adjourn the meeting and Sue seconded it. Next meeting is June 10th at 11:30.
