Board of Trustees Meeting Minutes

April 8, 2024 Ellicottville Town Center

Members Attending: Sue Blesy, Pat Kerl, Nan Miller, Gretchen Plough, Diane Smith, and Steve Ward.

Absent:  MJ Brown

  • Agenda approved
  • Call to order and welcome.
  • Minutes: The trustees considered the minutes of the March 11, 2024 meeting. Pat moved and Gretchen seconded the motion to accept the minutes.  The motion was approved and carried by a unanimous vote.
  • Correspondence: No Report.
  • Treasury: Par reported total income of $674.00 for the 3/1/24-3/31/24 quarter. Expenses totaled $302.50. Sue moved and Nan seconded to accept report. The motion was approved and carried by a unanimous vote. Steve made a motion to accept the IRS form 990, Gretchen seconded the motion. The vote was unanimous.
  • Reports from Committees/projects:
    • Herb Garden: No report.
  • Update of Volunteers:
    • Winter Connections meeting will be on April 15th. We will do some outside clean up to get ready for Arbor Day.
  • Update of Pruning Plan: No report.
  • Update of Grounds Maintenance:
    • J. Logging is servicing our lawn tractor.
  • Education and Interpretive Signage:
    • Nan and Steve will meet at ECS to plant Arbor Day Tree
    • Nan will work with ideas for educational quarterly programs:
  • Memorial Brochure and purple brochure:
    • The memorial brochure was given to Brenda Perks and we are waiting for her to send proofs to us for final approval. The purple Brochure is being taken care of by the County, bought and paid for.
    • Steve is assigning someone to answer emails regarding how to get memorials.
    • Steve made a motion and Gretchen seconded it to allow Brenda to give corrected brochure to Furgeson for printing. Motion approved.
  • Master Gardener Report:
    • Asked to use Arboretum to present a tick class
  • Unfinished Business:
    • Arbor Day/Annual Meeting Plans:
      • Jake Kelly, District Manager of Cattaraugus County Soil & Water is speaking on “ Pond Management”.
      • Tree planted is the Black Gum-“ Nyssa Sylvatica”
    • Clean up Day Plans:
      • April 27th at 9:00 and finish up on Monday April 29th.
    • Watch Party for Solar Eclipse Plans:
      • We will gather after board meeting to set up at entrance way for eclipse watch party.
    • Farmer Neighbor Dinner:
      • Final plans made to attend dinner.
    • Policy Revisions
      •    A motion was made by Steve and seconded by Sue to approve that the Treasurer is able to sign checks for purchases up to $500.00 before another signature is necessary on the check.
  • New Business:
    • A motion was made by Sue and seconded by Gretchen to change by-laws to read to have trustees meet to elect officers right after annual meeting. The motion was passed unanimously.
  • Adjournment: Sue made a motion to adjourn meeting and Gretchen seconded it.
  • Next meeting is May 13, 2024 at 10:30
