  Board of Trustees Meeting Minutes

     October 14, 2024 Ellicottville Town Center

Members Attending: Sue Blesy, Mike Braun, Ed Chapman, Blair Hamilton. Laurie Barrera, Gretchen Plough, Diane Smith, Steve Ward.

• Approve agenda
• Call to order and welcome
• Minutes: The trustees considered the minutes of the September 9, 2024 meeting. Gretchen moved and Ed seconded the motion to accept the minutes. The motion was carried by a unanimous vote.
• Presentations: None
• Treasurer’s Report: Laurie reported income of $211.00 for the 9/9/24 to 10/15/24 period. Expenses totaled 3222.97. Sue moved and Gretchen seconded to accept the report. The motion was approved and carried by a unanimous vote. It was voted to renew our CD at 4.5%. Motion was made by Blair and seconded by Laurie.
• Committees & Project Reports:
  • Technology: No Report
  • Tree Mapping, Inventory,& Signage: No Report
  • Tree Maintenance & Pruning Plan
    • Our deer fencing is complete

• • Ground Infrastructure Maintenance
    • All but the floor is stained in the Gazebo.
    • Steve is going to bring his tractor to mulch up leaves.
    • Town is going to repair the water line at the Al Cox garden and inspect the electric box in the Northrup.

• • Communication:
    • Winter Connections will start back up on December 9, January 13, February 10, March 10,and April 14^th, 2025. Coffee and muffins at 9:00a.m.

• • Volunteers:
    • Reminder of our Volunteer Luncheon on October 28, 2024 at Katy’s Fly In.

• • Education Program/ Speakers:
    • November 23 Cornell power Point about pruning trees.
    • Wreath making class December 4^th or 5^th at 6:30 p.

• • Community Relationships/Outreach:
    • ECS 3^rd grade class program was very successful.
    • Great Valley Senior Citizen Arboretum walk was a bust. The weather was not cooperative and only 3 attended.

• • Memorial Programs: No report
  • Town of Ellicottville: No report
  • Field Trips:
    • Ray an Ed attended the American Chestnut Tree Walk on the Jim Brady Woodlot in Olean on September 28^th.

• • Unfinished Business:
    • Remember “Giving Tuesday” Day and ask your friends to donate too.
    • Paul is going to work on building a new raised bed for the pollinator garden over the winter.

• • New Business:
    • Going to work with Pat on a design for a new Hydrangea garden on the east side of the pond.

• • Policy and By Laws: No Report
  • Adjournment and new meeting: Sue moved for adjourning the meeting and Laurie seconded the motion. Next meeting is November 11, 2024 at 10:00a.m.

September 9, 2024 Ellicottville Town Center

 

Members attending: Sue Blesy, Mike Braun, Ed Chapman, Blair Hamilton, Laurie Barrera. Gretchen Plough, Steve Ward, and Diane Smith.

• Call to order and welcome.
• Review and approve meeting agenda
• Minutes: The trustees considered the minutes of the August 12, 2024 meeting. Gretchen made motion and Sue seconded to accept the minutes. The motion was approved and carried by a unanimous vote.
• Guest Speaker:
  • Kelly McDonald reminded us of the Chestnut Wood walk on September 28^th 
  • October 5^th a discussion with Cornell Maple industry and Conner from Arga Forestry about mushrooms.

• Treasurers report: Laurie reported income of $ 7711.00 for the 1/1/24 to 9/6/24 period. Expenses totaled $ 5245.61.  Diane moved and Blair seconded to accept report. The motion was approved and carried by a unanimous vote.
• Committee and Project Reports:
  • Technology: No report
  • Tree mapping, Inventory, and Signage: Steve would like to have the year the tree was planted to be added to the Plantsoon web site.
  • Tree Maintenance and Pruning Plan: Draves is investigating the warranty of the plume oak we planted. We have yet to hear back.
  • Ground and Infrastructure Maintenance:
    • St. Mathews is to remove our dead maple tree for a cost of $ 1000.00
    • Steve pressure washed the gazebo and he and Bobbie stained it.

• • Communication: No report
  • Volunteers:
    • October 21^st is the tentative date for our volunteers luncheon at Katy’s Fly in.
    • The Town will be at the Arboretum to pound in stakes for the deer fencing.
    • Ray will be cooking hot dogs next week for a farewell celebration.

• • Education Program/ Speakers:
    • Nan has lesson plan for ECS 3^rd graders coming on October 2^nd.
    • Tentative date is October 15^th for Senior Citizens group to come tour the Arboretum.

• • Community Relationships / Outreach: No Report
  • Memorial Program: No Report
  • Town of Ellicottville:
    • Steve will check on the town to help funding money for a solar fountain in the pond, after we hear back from Jake Kelly.

• • Field Trips: No Report
  • Wish List: No Report
  • Unfinished Business
    • Several of our Volunteers moved and placed a large rock in the Dwarf Conifer Garden
    • Received a price of $1100 to $ 1700 for a new picnic table.
    • It was suggested getting more millings to finish off area where our mulch pile was and making it an area for a picnic table near the pollinator garden.
