 August 12, 2024 Ellicottville Town Center

Members Attending: Sue Blesy, Mike Braun, Ed Chapman, Gretchen Plough, Blair Hamilton, Diane Smith, and Steve Ward.

• Approve agenda
• Call to order and welcome.
• Minutes: The trustees considered the minutes of the July 8, 2024 meeting. Gretchen moved and Sue seconded the motion to accept the minutes. The motion was approved and carried unanimously.
• Mike gave a presentation on Plantsoon used for tree inventory. A motion was made by Ed and   seconded by Mike to sign up to use this.
• Treasurer’s Report: Laurie’s report had income of $ 315.00 for the 7/8/24 – 8/11/24 quarter. Expenses totaled $73.50. Sue moved and Gretchen seconded to accept the report. The motion was approved and carried by a unanimous vote.
• Committee and Projects Reports:
  • Technology: no report
  • Tree mapping, Inventory, and signage: We are ordering 6 new tree signs
  • Tree Maintenance and Prunning Plan: We are still working on that.
    • Steve will contact Draves Arboretum and address the plum oak that we planted.

• • Ground and Infrastructure Maintenance:
    • Still waiting for analysis from Smith Creek Fish Farm about our pond.
    • Lakeshore Paving is coating our walkway.
    • The Celebration walk was sprayed for weeds  by Jud Beattie on August 22, 2024.
    • Pond fountain costs $5000 for a two horsepower and $3000 for a three horsepower.

• • Communication:
    • email info@nannenarboretum.com is our new google account.
    • Mike Joslyn now has domain from Southern Tier IT.

• • Volunteers:
    • New volunteer is Steve Lindell

• • Education Programs/ Speakers:
    • Steve will check on new flyers with the Chamber and Mayor’s office.

• • Community Relationships/ Outreach:
    • ECS 3^rd grade is looking to visit October 2^nd or October 9^th
    • Jean Davis/ Great Valley Ellicottville Senior Citizens looking to do a guided walk in October.

• • Memorial Program:
    • Nan installed 3 new bricks and has an order for another one.

• • Town of Ellicottville:
    • NO report
  • Field Trips
    • A field trip to Cornell was brought up
  • Wish List
    • Update with list over winter months.
•  Unfinished Business:
  • The bedding is complete on the Dwarf Conifer bed and ready for next year.
  • Nan making new signs to direct visitors  to the pollinator garden.
• New Business:
  • We need to fill the open board position to fill in until April.
  • Addressed “Giving Tuesday” Possibly using funds to repair our raised beds in the pollinator garden.
  • Policy and By-Laws: no update

• Call to order and welcome
• Minutes: The trustees considered the minutes of the June 10, 2024 meeting. Gretchen made motion and Blair seconded to accept the minutes. The motion was approved and carried by a unanimous vote.
• Guest Speaker: Kelly McDonald told of us of a Wild American Chestnut Hike on Saturday, September 28, 2024.
• Treasurers Report: Laurie reported income of $7386.00 for the 1/1/2024- 7/5/2024 quarter. Expenses totaled $4209.20. Diane moved and Sue seconded to accept report. The motion was approved unanimously. Laurie is moving forward with acquiring a credit card for use by members of the board.
• Committee & Project Report:
  • Technology: No Report
  • Tree Mapping Inventory & Signage: Mike showed us a sample of Plant Soon program that Draves Arboretum uses for us to identify our trees with use of bar code.
  • Tree Maintenance & Prunning Plan: We still need to get with Ray to address what he is able to do himself and what we need to hire to be done.
  • Ground & Infrastructure Maintenance:
    • Paul is working on broken bench slats
    • gazebo will be power washed – Steve has a gas powered pressure washer.

    • We will use google for email/WP Engine for hosting
    • name cheap account established to link domain
    • A letter was sent to Southern Tier IT to unlock domain and provide authorization or EPP code

    • tick program was successful with 26 persons attending
    • Tri County Arts Counsel: Blair talked to Paula Bernstein
    • Jake Kelly – we are still waiting to hear from him about our pond and we are looking into fountain pricing
  • Community Relationships/ Outreach:
    • Steve spoke to Jean Davis about Great Valley Ellicottville Senior Citizens offering a fall walk thru the Arboretum and maybe serving cider and donuts.

    • Nan now has three brick orders

• • • Reminder that any budget requests need to be submitted in August.
  • Field Trips:
    • 12 members attended Draves Arboretum
    • Open Gardens – Hamburg/Orchard Park Area on July 25^th.

• • Still need suggestions to work on a new wish list ( winter project )
• Unfinished Business:

• • 40’ x 6’ Dwarf Conifer Plan- Nan has ordered dirt and work will begin.

• • We discussed thoughts of our roadway view across from fire department

• Minutes: The trustees considered the minutes of the May13, 2024 meeting. Gretchen moved and Blair seconded the motion to accept the minutes. The motion was approved and carried by a unanimous vote.
• Guest Speaker: None
• Treasurers Report: Laurie reported income of $ 2086.00 for the 1/1/24 – 6/6/24 quarter. Expenses totaled $4206.20. Gretchen moved and Ed seconded to accept the report. The motion was approved and carried unanimously.

• Committee Project Report:
  • Technology-Mike is researching Quick Books in the cloud ,MS Office, and price of a new computer
  • Tree Mapping – Mike
  • Tree Maintenance & Pruning plan- Blair, Steve, Ray and Ed.
  • Ground & Infrastructure Maintenance Ed, Blair and Steve, Arrange for Lakeshore Paving to repave our path.
    • We still need our memorial path done by Jud Beattie
    • Need to contact John Kinder about fixing up where mower got stuck by the herb garden.
    • Talked about power washing the gazebo, possible Paul doing it.
  • Communication –
    • We received a $300.00 donation to buy a brick and use remainder for whatever is needed.
    • We need to select a new provider for website and email hosting.
      • Proposals from Robot of the Future and Green Skunk. A motion was made by Laurie and seconded by Mike to use WP Engine for hosting an e mail Heather Sullivan of Sullivan Consultants who we have been using. Mike and Pat will contact. The plan is to use google for emails now.

    • Julie will continue making our break snacks until Sue comes back.

• • Education Programs/Speakers
    • Tick Awareness Wednesday June 19^th at 7PM with three speakers Kelly McDonald, Mike Riley and Megan Snyder.

• • Community Relationships/Outreach
    • ECS Third grader program on May 30^th was very successful. New class of third graders will be back in October.

• • Memorial Program – Still need a bench for the gazebo
  • Town of Ellicottville – No Report
  • Field Trips: Draves Arboretun field trip June 19, leaving Eville at 9:30
  • Wish List: Need to work on a new list.
• Unfinished Business:
  • Dwarf Conifer Plan: Gretchen made a motion and Laurie seconded it to allow Nan to start preparing for the new garden by laying dirt, paper and mulch.
  • Northrup: Paul fixed the railings, stairs and steps. He also pressure washed the stage and took out old planters and built two new ones.
• New Business:
  • Equipment needs: Ed made a motion and Steve seconded it to have Mike purchase some new hand tools with a $500.00 budget.
• Adjournment: Next meeting will be July 8, 2024 at 11:30. Gretchen made a motion to adjourn and Steve seconded it.

May 13, 2024 Ellicottville Town Center

Members Attending: Sue Blesy, Mike Braun, Ed Chapman, Laurie Berrera , Gretchen Plough, Blair Hamilton, Steve Ward and Diane Smith.

MJ Brown has resigned as our 9^th trustee effective immediately and we will address electing a replacement at a later date.

• Call to order and welcome.
• Guest Speakers:
  • Jake Kelley spoke about our pond. We discussed having the pond tested for nutrients. He will get back to us with a proposal.
  • Kelly McDonald reported that the master gardener class will be graduating in late June. They will be dedicating the new demonstration gardens. They will be holding a tick education class the end of June.
• Minutes: The trustees considered the minutes of the April 8, 2024 meeting. Gretchen moved and Sue seconded the motion to accept the minutes. The motion was approved and carried by a unanimous vote.
• Treasury Report: Laurie reported income of $ 1533.10 for the 1/1/24 -5/11/24 quarter. Expenses totaled $ 2536.11. Gretchen moved and Sue seconded to accept the report. The motion was approved and carried unanimously. Ed made a motion to move $22,000 from our checking account into a CD at Five Stat Bank. Blair seconded the motion.
• Committee and Project Reports:
  • Technology- Mike is looking into purchasing a computer for out Arboretum business.
  • Tree mapping, inventory, and signage-
  • Tree maintenance and Pruning Plan-
  • Ground and infrastructure Maintenance- Charlie’s bench has been picked up and is ready to be placed on the grounds.
  • Communication- Contacting Jeremy Knab from Southern Tier IT about our facebook page and web site development maintaining and updating.
  • Volunteers- Blair volunteered his wife to provide treats for our coffee break until Sue returns.
  • Education Programs/ Speakers- Tick Awareness program June 19^th at 7:00. Speaker will be Michael Riley DVM of Springville Animal Hospital.
  • Community Relationships/ Outreach-May 30^th ECS 3rd graders will visit Arboretum. Volunteers are needed to assist with them.
  • Memorial Programs- Need to address memorial benches that are broken. Laurie will handle any new bench orders.
  • Town of Ellicottville- We are looking for some space to maybe have a small office in the building.
  • Field Trips- We are planning a trip to Draves Arboretum in Darien ,N Y – Friday June21st at 11:00. We will meet at Town Center at 9:30.
  • Wish List-
• Unfinished business: Paul Timkey has been fixing up the Northrup Stage area, replacing steps and railings. He will also power wash the stage and benches.
• We received another load of mulch.

• Call to order and welcome.
• Minutes: The trustees considered the minutes of the March 11, 2024 meeting. Pat moved and Gretchen seconded the motion to accept the minutes.  The motion was approved and carried by a unanimous vote.
• Correspondence: No Report.
• Treasury: Par reported total income of $674.00 for the 3/1/24-3/31/24 quarter. Expenses totaled $302.50. Sue moved and Nan seconded to accept report. The motion was approved and carried by a unanimous vote. Steve made a motion to accept the IRS form 990, Gretchen seconded the motion. The vote was unanimous.
• Reports from Committees/projects:
  • Herb Garden: No report.
• Update of Volunteers:
  • Winter Connections meeting will be on April 15^th. We will do some outside clean up to get ready for Arbor Day.
• Update of Pruning Plan: No report.
• Update of Grounds Maintenance:
  • J. Logging is servicing our lawn tractor.
• Education and Interpretive Signage:
  • Nan and Steve will meet at ECS to plant Arbor Day Tree
  • Nan will work with ideas for educational quarterly programs:
• Memorial Brochure and purple brochure:
  • The memorial brochure was given to Brenda Perks and we are waiting for her to send proofs to us for final approval. The purple Brochure is being taken care of by the County, bought and paid for.
  • Steve is assigning someone to answer emails regarding how to get memorials.
  • Steve made a motion and Gretchen seconded it to allow Brenda to give corrected brochure to Furgeson for printing. Motion approved.
• Master Gardener Report:
  • Asked to use Arboretum to present a tick class
• Unfinished Business:
  • Arbor Day/Annual Meeting Plans:
    • Jake Kelly, District Manager of Cattaraugus County Soil & Water is speaking on “ Pond Management”.
    • Tree planted is the Black Gum-“ Nyssa Sylvatica”
  • Clean up Day Plans:
    • April 27^th at 9:00 and finish up on Monday April 29^th.
  • Watch Party for Solar Eclipse Plans:
    • We will gather after board meeting to set up at entrance way for eclipse watch party.
  • Farmer Neighbor Dinner:
    • Final plans made to attend dinner.
  • Policy Revisions
    •    A motion was made by Steve and seconded by Sue to approve that the Treasurer is able to sign checks for purchases up to $500.00 before another signature is necessary on the check.
• New Business:
  • A motion was made by Sue and seconded by Gretchen to change by-laws to read to have trustees meet to elect officers right after annual meeting. The motion was passed unanimously.
• Adjournment: Sue made a motion to adjourn meeting and Gretchen seconded it.
• Next meeting is May 13, 2024 at 10:30

 Arbor Day Annual Meeting

 April 26, 2024 Ellicottville Town Center

1. Nan called our annual meeting to order and welcomed twenty plus guests.
2. Pat Kerl presented our 2023 accomplishments and workshops held during the year at the Arboretum.
3. Pat reported a total income of $11,735.00 for the year. Expenses totaled $17,188.00 for a total loss of $5453.00.
4. Mayor John Burrell read the Tree City Proclamation and presented us with a plaque. He spoke of restoration project going on that will involve taking down 20 trees in the village and replanting them. Joe Lowry is in charge of this.
5. A new slate of trustees were presented for 2024.They are: Blair Hamilton, Mike Braun, Laurie Barrera, Ed Chapman and Steve Ward. A motion was made by Gretchen Plough to accept slate of trustees.

6. Jake Kelly, District Manager of Cattaraugus County Soil and Water Department spoke on “ Pond Management”
7. The tree planted this year is the Black Gum – “ Nyssa Sylvatica.” It grows 30’ to 50’ tall and has spectacular red leaves in the fall.
8. The meeting was adjourned and everyone was treated with refreshments provided by board members.

Trustee Officer Election Meeting

April 26, 2024 Ellicottville Town Center

Members Attending: Sue Blesy, Diane Smith, Laurie Barrera, Blair Hamilton, Mike Braun, Stephen Ward, MJ Brown, Nan Miller, Pat Kerl, and Ed Chapman.

1. On April 26^th after our annual Arbor Day meeting our first meeting was held to elect new officers to replace outgoing President Nan Miller and Treasurer Pat Kerl.
2. On Monday May 6^th at 11:00 we will meet with new trustees. We will have tasks available to divide and be responsible for. May 13^th will be our first regular Board Meeting.
3. A motion was made by Diane and seconded by Ed Chapman to allow three trustees to sign checks for expenses for the arboretum. They will be Laurie Barrera, Blair Hamilton and Steven Ward. The motion was carried unanimously.
4. Our CD held at CCB has matured and needs to be renewed. Laurie has volunteered to look into best current rate to reinvest.
5. Officers were elected as followed:

President  —  Stephen Ward

Vice President   —   Sue Blesy  (term ending in 2025)

Treasurer  —   Laurie Barrera

Secretary  —   Diane Smith (term ending in 2025)

It was voted unanimously to elect officers.

6. A motion was made to adjourn meeting by Sue and seconded by Laurie.

March 11, 2024 Ellicottville Town Center

Members Attending: Sue Blesy , Pat Kerl, Nan Miller, Diane Smith, Steve Ward, and MJ Brown.

• Welcome and call meeting to order.
• Minutes: The trustees considered the minutes of February12, 2024 meeting. Pat moved and Nan seconded the motion to accept minutes.  The motion was approved and carried unanimously.
• Correspondence: No Report
• Treasury: Pat reported no income for the 2/1/21 – 2/29/24 quarter.  Expenses totaled $1371.00.  MJ moved and Steve seconded to accept the report.  The motion was approved and carried by a unanimous vote.
• Reports from Committees/Projects:
  • Herb Garden; No Report
  • Update of Volunteers: Winter Connections gathering will be March 18^th at 9AM.
  • Update on Pruning Plan: No Report
  • Update on Grounds Maintenance Plan: The Town met with Paul Timkey and hired him as a temporary employee. He will work on fixing the shed.
  • Membership Committee: No Report
  • Education and Interpretive Signage: Cooperative Extension will pot white pine seedlings for ECS third grade in newspaper pots and put in plastic bags.
  • Memorial Brochure and creation of policies: Change logo on general brochure and website.
    • Rules of Bed Tax: Will not pay for Memorial Brochure but will pay for Purple General Brochure.
    • Policy revision: MJ made a motion and Steve seconded it to have written approval for checks $500.00 or more for anything we purchase.
  • Master Gardner: There are 25 students in the new Master Gardner class.  More than half of them are from Cattaraugus County.
• Unfinished Business:
  • Final list from nominating committee: Final trustees are Ed Chapman, Mike Braun, Blair Hamilton, Laurie Barrera, and Steve Ward.
  • Dwarf Conifer Society Grant Application: Has been handed in and will have results the beginning of April.
  • Arbor Day plans: We went over assignments for Arbor Day on April 26, 2024 at 11:00. A motion was made by Steve and seconded by Pat to purchase trees for Arbor Day and for a memorial tree ordered.
  • Clean up Plans: Planned for Saturday April 27^th and finish up on Monday April 29^th 9 to noon.
  • Review skeleton calendar and lists of retiring responsibilities and activities: Passed Agenda out.
  • O.U. and stage repairs: MOU has been accepted by Town and copy will be emailed to us.
  • Farmer Neighbor Dinner: Pat made a motion to pay $50.00 for one half table at the dinner Sue seconded the motion. All were in favor. The dinner is April 10^th.
• New Business:
  • Eclipse Watch Party Plan: April 8^th starting at 1:00 giving out glasses until 4:30. Refreshments provided. Bring a chair.
  • Servicing Tractor: Looking for someone to service our tractor before season starts.
• Adjournment: Motion was made by Sue to adjourn meeting. It was seconded by MJ and approved unanimously.

• Call meeting to order and welcome
• Minutes: The Trustees considered the minutes of the February 12, 2024 meeting. Gretchen moved and Steve seconded the motion to accept. The motion was approved and carried by a unanimous vote.
• Correspondence:
  • Farmers Neighbor Dinner will be April 10^th this year with a $25.00 cost and we will sponsor a half      table again.
  • We received $750.00 Bed Tax from the Cattaraugus County Tourism Bureau to use to update the brochure.
• Treasury: Pat reported no new Income or expenses for the last quarter of the year. Diane moved and Gretchen seconded to accept the report. The motion was approved and carried by a unanimous vote.
• Reports from committees/projects:
  • Herb Garden:
  • We discussed the idea of having more collections in the Herb garden such as a hydrangea collection.
  • Update of Volunteers:
  • March 18^th will be our next Winter Connection meeting at 9:00.
• Update on Pruning Plan:
  • We are highlighting several trees at each board meeting. The Fringe Tree, Contorted Pine and Crabapple Tree Collection were discussed this week.
• Update on Ground Maintenance: No Report
• Membership Committee: No Report
• Education and Interpretive Signage:
• Steve made a motion and Pat seconded it for Nan to purchase two bundles of Eastern Pine trees   to give to each third grader from ECS in the fall.
• Memorial Brochure and creations of policies:
  • Committee met February 1^st to review 2 new changes to the brochure.
• Unfinished Business:
  •   The nominating committee gave a new slate of possible candidates for trustees.  They are Blair Hamilton, Mike Braun, Laurie Barrera and Nan Miller.
  • Bob Ellis is willing to help us with the IRS Form for the IRS and informed us that we don’t need to have an audit at this time.
  • We need to produce a form to file anytime any monies are given to the treasurer for any reason.
• New Business:
  • Arbor Day will be April 26^th this year
  • Nan informed us of a potential grant from the American Conifer Society for our planned conifer    project.
• Adjournment: Motion was made by MJ Brown to adjourn meeting, Gretchen seconded it and it was approved unanimously.
